Participation in the EVIA Digital Archive provides an opportunity for depositors to preserve their field video using the latest technologies for digital video preservation and to make their materials accessible online within an educational framework. The EVIA Project is open to proposals from individuals and groups wishing to become depositors or collaborators with the Archive. Following is a description of the current deposit options available.

  1. The EVIA Project periodically hosts intensive Summer Institutes for a limited number of individual participants. When funds are available for the Summer Institute, applications and calls for submission are posted on the website.

  2. The EVIA Project collaborates with individual scholars or institutions interested in the EVIA Digital Archive serving as the preservation and access component of a project for which they are submitting a grant proposal to another agency.

  3. The EVIA Project is prepared to discuss options for individuals making tapeless digital (born digital) recordings in the field who may be interested in working independently on annotating their materials using the Annotator's Workbench software.

Since the EVIA Project dedicates significant resources and personnel to preservation, annotation, and publication processes, only a limited number of deposition proposals may be accepted in each round of production. Consequently, the application process is competitive. Summer Institute proposals are evaluated by the EVIA Project editorial board comprised of scholars with extensive experience in ethnography and field video recording. Proposals are evaluated on several criteria, including significance of the material; geographic representation in relation to the EVIA Project contents as a whole; relevance of materials to published scholarly work; and the EVIA Project's ability to accommodate the formats and condition of the original tapes (the EVIA Project accepts a wide variety of analog and digital video formats). Those wishing to submit proposals under the collaborative project and born digital options will be evaluated on a case-by-case basis by EVIA Project staff.

In order to safeguard rights to privacy and intellectual/cultural property, access to materials deposited in the EVIA Digital Archive is restricted to educational use. Provisions have been made for depositors to render inaccessible—either permanently or for a specified period of time—segments of video that are deemed politically, culturally, or personally sensitive.
